Anti-Spam Policy

Last updated: October 29, 2026

1. Purpose and scope

No one may promote the RollCredits website, app or services through unsolicited messages. This policy protects the people we contact, our sender reputation and our standing with the studios and production companies we serve.

It applies to RollCredits employees, founders, contractors and interns; agencies, resellers, referral and affiliate partners, and vendors acting for us; and customers and users who share referral links or promote RollCredits in any way.

It covers every channel: email, SMS and messaging apps, phone and voicemail, LinkedIn and other social DMs, comments, forums, Slack and Discord communities, and contact forms on other sites.

2. Definitions

  • Unsolicited message: any message sent to someone who has not given consent and has no existing business relationship with us.
  • Commercial message: a message whose main purpose is to promote RollCredits, its website, features, pricing, events or referral program.
  • Consent: a clear, affirmative opt-in from the recipient, recorded with date, source and what they agreed to receive. Pre-checked boxes and silence do not count.
  • Existing business relationship: a current customer, an active trial or demo, or a contact who has asked us to get in touch within the last 12 months.
  • Promoting the site: sharing links to, describing, or encouraging visits to any RollCredits domain, landing page, app store listing or referral link.

3. Policy statement

RollCredits does not send, commission or tolerate spam. Every commercial message that promotes our website must go to a person who has consented or has an existing business relationship with us. This holds no matter who sends it, which channel is used, or whether the message is automated or written by hand.

4. Prohibited practices

  • Buying, renting, trading or scraping email lists, phone numbers or contact databases
  • Bulk or automated messages to people who have not opted in, including crew lists, union rosters or production contact sheets obtained through client work
  • Using customer data from the RollCredits platform (crew, vendors, payees) for marketing without their separate consent
  • Mass social DMs, connection-request pitches, or automated outreach tools that send at volume
  • Posting promotional links in comments, forums, groups or communities where it breaks the community's rules
  • Unsolicited SMS, robocalls or prerecorded voice messages
  • Submitting promotional content through other organizations' contact or support forms
  • False or misleading sender names, subject lines, headers or "Re:"/"Fwd:" prefixes on first contact
  • Sending from domains, numbers or accounts that hide that the message is from RollCredits
  • Continuing to message anyone who has opted out or asked us to stop
  • Paying or rewarding anyone, including referral partners, for activity that breaks this policy

5. Permitted communications

  • Marketing email or SMS to people who opted in through our website, events, demos or trials
  • Transactional and service messages to customers, such as onboarding, payroll and payment notices, security alerts, billing and product changes
  • Messages to existing customers and active prospects within an existing business relationship
  • One-to-one sales outreach to a named business contact, written for that person, about a clear professional fit, sent in low volume, and stopped after at most 3 follow-ups with no reply
  • Organic posts on RollCredits' own website, blog and social accounts
  • Customer referrals sent personally to people they know, without automation or incentives for volume

6. Requirements for every commercial message

  • Identify RollCredits clearly as the sender, with accurate From, reply-to and routing information.
  • Use a subject line or opening that honestly reflects the content.
  • Include RollCredits' physical mailing address in marketing email.
  • Offer a clear, working opt-out, such as an unsubscribe link or "reply STOP" for SMS, that needs no login or fee.
  • Honor opt-outs within 10 business days at most, and as soon as possible for SMS. Opt-out lists are never sold or shared except to enforce them.
  • Send only from approved RollCredits tools and domains, with SPF, DKIM and DMARC set up.
  • Keep consent records for as long as we message the contact, and at least 4 years after.

7. Third parties, partners and affiliates

Anyone promoting RollCredits on our behalf must follow this policy, and their contracts must say so. Agencies and vendors must show how their contact lists were built and how consent was obtained before any campaign starts. Referral and affiliate partners may not use spam to drive sign-ups; commissions earned through prohibited practices are forfeited. RollCredits may audit partner campaigns and end any partnership that breaks this policy.

8. Reporting spam

If you receive an unsolicited message promoting RollCredits, please forward it, with full headers if possible, through our Contact page. We review every report within 5 business days, stop the activity if it came from us or a partner, and remove you from any list you were added to.

If a message uses our name or links but was not sent by us, it may be phishing. Do not enter payroll, banking or login details; report it to us instead.

9. Enforcement

  • Employees and contractors: required retraining, written warning, loss of tool access, up to termination.
  • Partners, agencies and affiliates: forfeited commissions or fees, campaign suspension, contract termination.
  • Customers and users: removal of referral rewards, suspension or termination of the account under our Terms of Service.

RollCredits may also report serious or repeated abuse to the relevant authorities or platforms.

10. Legal basis and review

This policy is designed to meet or exceed the laws that apply to our messaging, including the CAN-SPAM Act and the Telephone Consumer Protection Act (TCPA) in the United States, the California Consumer Privacy Act (CCPA/CPRA), Canada's Anti-Spam Legislation (CASL), and the GDPR and UK PECR when we message people in those regions. Where a law is stricter than this policy, the law applies.

This policy is reviewed at least every 12 months and after any change to our marketing tools or target regions. See also our Privacy Policy.
